Responsibilities

  • Give administrative and logistical support to the Directorate — receive and register incoming and outgoing correspondence
  • Liaise with public entity about submission of Strategic Plan, Annual Performance Plan, and Shareholder Compact
  • Do preliminary analysis of draft performance plan against the guidelines
  • Arrange monthly and quarterly meeting for the Directorate
  • Help draft minutes of Directorate meeting and follow up on action list
  • Send reminder to public entity for submission of quarterly performance report and Portfolio Committee presentation
  • Distribute Portfolio Committee presentation and Parliamentary question to public entity
  • Send correspondence to public entity and follow up on outstanding matter
  • Help with petty cash request and procurement of goods and services
  • Distribute document in prompt and confidential manner
  • Make travel arrangement for officials
  • Consolidate and process travel claim for the Directorate
  • Maintain and oversee filing system of the Directorate
  • Help with financial management inside the Directorate
  • Procure goods and services using correct procedure
  • Prepare quarterly financial and non-financial performance report for the Directorate

Requirements

  • Must have Grade 12 / Matric certificate
  • Diploma or Degree will be added advantage

Advantageous: relevant experience in administration will be added advantage

Knowledge and Skills

  • Must know administrative procedure
  • Must know public service prescripts and procedures
  • Must know procurement policy and procedure
  • Must have thorough knowledge of financial management and supply chain management procedure
  • Must be computer literate
  • Must have good written and verbal communication skill
  • Must have report writing skill
  • Must have good interpersonal skill
  • Must have sound organising and planning skill
  • Must be willing to work long hours and plan under pressure
  • Must be able to gather and analyse information
  • Must be able to follow policy, work independent, and work in team
